Business

“How well did you sleep last night?” Ask 10 people in the street and around 50% is bound to answer they didn’t get enough sleep.

If the sleep-loss is caused by obstructive sleep apnea (OSA) – which is the case for a staggering 425 million people worldwide – then help may be just around the corner. After years of intensive research and development, Nyxoah is ready to commercialize its solution to treat OSA, the common sleep-related breathing disorder.

Improving lives through restful nights

“Our lead solution, Genio®, is an implantable chip that offers a comfortable alternative for people who have difficulty using the common CPAP therapy,” explains Nyxoah’s CEO, Olivier Taelman.

The solution is already available in Austria and Germany, and Nyxoah is accelerating production and expanding its presence across four continents. Their main focus is their ‘American dream’: Nyxoah hopes to receive approval from the US Food and Drug Administration (FDA) by the end of 2024 to then launch the treatment in the high-potential US market.

Solution

Evolving from an R&D- and clinical-focused company to a sales-driven organization requires a major transformation in Nyxoah’s organization and processes. To professionalize their administration and back-office processes they decided to replace the accounting system they had been using for years with a fully-fledged ERP system.

The quest for connectivity and compliance

“Our previous system lacked integration across key domains like inventory, production, procurement, and finance," says Kristin De Rudder, Director of Finance Controlling and Internal Control. "Furthermore, establishing a foothold in the US market means adhering to the FDA's GxP guidelines, so we needed a GxP-compliant tool that would enhance authorizations, approvals, access control, traceability, and more."

After an intensive selection process, Nyxoah chose Microsoft Dynamics 365 Finance & Supply Chain Optimization. "The platform is perfectly suited to our needs," CFO Loic Moreau explains. "It’s nimble, yet robust enough to support us as a growing scale-up. We don’t need a Ferrari – just a good, fast car to bring us to our destination."

Dedicated pharma and life sciences template

Nyxoah also implemented Cegeka’s Dynamics for Pharma & Life Sciences template alongside Dynamics 365 ERP. “The system offers best practices, predefined checklists, and documentation, ensuring smooth processes. Moreover, both the solution and the methodology have been validated by Epista,” adds Jochen Plas, Business Solution Architect, Cegeka.

 

Better collaboration

Nyxoah decided to first implement the HR module in the Dynamics 365 stack to shift its human resources management into a higher gear. The component now supports organization and personnel management, compensation and benefits administration, and talent management, and facilitates employees with several self-service tools – much to the satisfaction of both HR and the employees.

 

Kristin: “The system provides a clearer view of organizational structure, improves workflows and collaboration, and ensures approvals in line with the Delegation of Authority (DOA).”

Happy customers, suppliers, and management

The finance and supply chain components that went live shortly after the HR module, further enhanced collaboration among colleagues and with suppliers, customers, and other stakeholders.

 

“We now have greater rigor in processes and master data management for customers and vendors, better visibility into goods received and inventory levels, and it’s easier to link contracts to POs and invoices. All that boosts customer and supplier satisfaction,” Kristin says.

 

Loic and the finance team value the real-time overview of the company’s commitments, while the integrated data and systems accelerate financial closing. The platform’s extensive reporting features enable the finance and management teams to make well-informed decisions.

Approach

“Implementing an ERP system in a rapidly growing scale-up requires you to work smartly, flexibly, and pragmatically,” says Loic. “We kept tweaking the engine while flying the plane, which was a bit risky at times.” Cegeka helped Nyxoah in every possible way to ensure they remained on course.

Openness and transparancy

“The choice for Cegeka was the right one,” Loic continues. “We needed a partner who knew how to implement Dynamics 365 in a pharma & life sciences company and could support us in the long term. In addition, they are just the right size for us.”

 

In spite of the limited availability of Nyxoah’s stakeholders – due to the rapid expansion –, implementation success was guaranteed thanks to close cooperation and an efficient project management approach. The Cegeka team, consisting of a solution architect, project manager, and functional consultants, worked closely together with Nyxoah’s 5-strong core team. In case of doubts, the management was available to cut knots.

 

Gaku Ushiyama, business project manager at Nyxoah, praises the flexibility, and the openness and transparency of Cegeka throughout the project; “From budget and planning details through to doubts, concerns, and remarks: these were all openly shared with one other.”

In close cooperation - even in the Metaverse

Last but not least, change management played a crucial role in engaging the entire Nyxoah community with the ERP project. “Innovation is in our DNA, so we created a metaverse, called Dreamscape, where colleagues worldwide could learn about Dynamics 365. Dreamscape remains a valuable tool for project communication and will continue to support us as Dynamics 365 evolves,” Kristin concludes.
